A well know company in City of Torrance is looking for a Sea Freight Dispute Administrator.
The Disputes Administrator will effectively manage the daily RTQ tickets in regard to Disputed Invoices.
The Disputes Administrator will be responsible for the reception, resolution and escalation if needed of each disputed ticket.
Job Description:
• Daily review RTQ dashboard and tickets resolution
• Periodically review all disputes assigned to the West Area
• Follow up on all “Open” + “Assigned Tickets” daily and to ensure a proper turnaround time of maximum 7 days
• Review information if needed with operations and or sales and take proper action to resolve the disputes
• Work closely with LAX ZF-A to ensure tickets status are properly updated
• Weekly disputes follow up with Lax ZF and Lax ZF-A to review progress and concerns.
• Responsible for crediting and reissuing invoice in order to resolve the dispute.
• Ensure Credit notes are executed for flagged files older than 12 months and nothing more than 1 year is outstanding on the RTQ.

Jos description:
Logistics/dispatch type of experience since they are interacting with the client’s drivers for the inbound and outbound processes. It’s more than a Customer Service position with specifics of working knowledge of logistics and/or 3PL. Data entry is a key facet of the role since the CSR is having to enter data in 2 different inventory systems (Cadence and SAP).
The schedule is Monday through Friday, 6 a.m. to 2:30 p.m.

Responsibilities and Duties

  • Logistics Coordinator reports directly to the Logistics Supervisor and carries out day to day administrative tasks in support of the Transportation Team.
  • This individual needs to be organized, deadline oriented, and exhibit excellent team-players skills. 
  • Will serve as the first point of contact for all drivers entering the facility to ensure proper transaction number communication and coordination 
  • Documents and communicates all service-related issues. 
  • Responsible for recording the inventory movement and tracking paperwork for all sales orders (SOs), purchase orders (POs), and inventory transfers. 
  • Develops a sense of trust and integrity with the customer. 
  • Acquires pricing for loads and ensures hired carriers deliver according to agreed upon requirements. 
  • Seeks appropriate guidance from leadership on matters that could negatively impact the company. 
  • Plans loads for driver pick up and drop offs based on availability, preferences keeping in mind driver hour requirements. 
  • Provide pickup and delivery documents for drivers. 
  • Works closely with customer service and warehouse departments to ensure timely and accurate deliveries. 
  • Track drivers for efficient and timely delivery schedules.
  • Provide rate quotes for brokered loads, track/track loads.
  • Issue PO’s to vendors in QuickBooks.
  • Respond to incoming emails and phone calls. 
  • Maintain proper attendance and punctuality. 
  • Assist with maintaining the shipping schedule. 
  • Assist with managing rental equipment. 
  • Assists to ensure drivers and equipment are performing as necessary to provide on-time service.
